Influencer Gifting Budget Planner

Your gifting budget is (product + packaging + shipping) × creators, plus fixed costs and a contingency. At the starting assumptions below, 30 creators costs about €671 in total, or €22.37 per creator. Replace every number with your own.

Planner

Add up to three items per package and three shipping lanes. The currency button only changes the symbol, it does not convert anything. The page address updates as you type so you can share the plan.

Your inputs

Every value starts as an editable placeholder, not a quote or a benchmark.

What goes in each package

Box, filler, insert card.

Your time, tool subscriptions.

Shipping lanes

Reships, lost parcels, price changes.

Only used for cost per expected post.

Shipping cost by EU country

We do not list a price for each EU country. Carrier prices change several times a year and depend on weight, parcel size, service level and your contract, so any country-by-country table we typed in would go stale and look more precise than it is. Instead, group your creators into lanes and enter a real quote for each. The values below are illustrative starting assumptions for a small, light parcel, in euros. Replace them with your own carrier quotes.

Illustrative lane assumptions for a small parcel. Not quotes.
LaneIllustrative starting assumptionWhat moves the price
Domestic€5Weight, tracked or untracked, pickup point or home delivery
Neighbouring EU country€9Carrier zone, parcel size, signature on delivery
Distant or remote EU region€12Zone surcharges, islands, longer transit
UK, Switzerland, Norway€14Customs paperwork, import VAT handling, carrier surcharges

Some carriers publish international price sheets, for example Deutsche Post DHL's international parcel price overview (July 2025 edition). Treat any published sheet as a starting point: your rate depends on your account. Parcels that leave the EU also carry customs and VAT questions, so check the PR package customs and VAT checker before you promise a creator a free delivery.

Ways to cut cost per creator

Each row below shows what a change would save at your current inputs. The percentages are things to test, not predictions. The biggest lever for most brands is not shipping to creators who will not post, which is why we suggest asking first, as covered in the how many influencers to gift calculator.

Savings if you changed one thing, at your current inputs (includes contingency)
ChangeSaving per creatorSaving in total
Cut shipping cost by 20%€1.72€51.70
Cut product cost by 20%€2.42€72.60
Cut packaging cost by 20%€0.33€9.90
Drop contingency to zero€2.03€61.00
Send 10% fewer packages (same per-package cost)€2.24€67.10

Other levers that do not show up in a formula: send the smallest item that still shows the product, consolidate shipping lanes, and use a pickup point where it is cheaper. Seed's gift form also lets creators confirm their own address, which cuts failed deliveries. Once the plan looks right, check the cost per post in the gifting ROI calculator or the PR package cost calculator.

Questions about gifting budgets

How much should I budget for influencer gifting?

Work it out from the bottom up instead of picking a figure. Multiply the cost of everything in one package (product, packaging, postage) by the number of creators, add any fixed costs, and keep a contingency for reships. Then divide by the posts you expect to see what each piece of content really costs.

How much does it cost to ship a PR package in the EU?

It depends on weight, size, carrier, and whether the parcel crosses a border, so any single figure would mislead. Get a quote from your carrier for each lane you plan to use, enter it in the planner, and compare lanes. Parcels leaving the EU, for example to the UK, also need customs paperwork.

Should I include my time in a gifting budget?

Yes if you want the true cost, because outreach, packing and follow-up take hours. This planner has a fixed-costs field where you can add your time at your hourly rate, or a tool subscription. Leaving it out makes cost per creator look lower than it is.

How big should the contingency be?

Use a number you can justify from your own past campaigns. Contingency covers reships, lost parcels, price changes and the odd replacement item. The planner defaults to a placeholder you should replace. If you have no history yet, keep it modest, then adjust it after your first wave is delivered.

How do I lower cost per creator?

Ask before you ship so you only send to creators who want the product, ship from the closest warehouse, and send the smallest item that still shows the product well. The cost levers table on this page shows how much each change would save at your current inputs.

Methodology and sources

product = sum of (item cost × units) × creators

packaging = packaging per package × creators

shipping = sum over lanes of (creators in lane × shipping each)

total = (product + packaging + shipping) × (1 + contingency) + fixed costs

cost per creator = total ÷ creators

Contingency is applied to product, packaging and shipping, not to fixed costs. Cost per expected post divides the total by creators × expected post rate, rounded to whole posts. Every default value on this page (item costs, packaging, shipping per lane, contingency, post rate) is an illustrative starting assumption, not a quote, a benchmark or a Seed statistic. The lane table is illustrative for the same reason. The only third-party source is the carrier price sheet linked above, offered as an example of where to look, and its figures are not used in the calculation. The currency button changes the symbol only and does no conversion. This is a planning aid, not tax or customs advice.
